Job Purpose

We are looking for a detail-oriented Intellectual Property (IP) Billing Clerk. This role is responsible for preparing, reviewing, and processing invoices for intellectual property legal services in compliance with client guidelines and firm policies. This role requires a strong understanding of legal billing procedures, electronic billing (eBilling) systems, and intellectual property law firm operations. The ideal candidate is detail-oriented, analytical, and capable of handling high volumes of billing transactions accurately and efficiently.

Responsibilities
  • Process and send invoices to clients following established billing procedures.
  • Email invoices based on the Pull List, ensuring timely and accurate delivery.
  • Assist with billing coordination, checking with team members to determine available billing books.
  • Update billing records when new instructions are received from clients, attorneys, or paralegals.
  • Research and resolve billing issues, such as invoices returned due to invalid addresses.
  • Review new matter setups to confirm correct billing details.
  • Communicate with paralegals to obtain client email address for invoice delivery and update billing instructions in billing software accordingly.
  • Prepare, review, and process invoices for intellectual property matters, ensuring compliance with client billing guidelines and firm policies.
  • Submit invoices through electronic billing systems (eBilling), addressing and resolving any rejections or reductions in a timely manner.
  • Work closely with attorneys, legal assistants, and clients to address billing inquiries and discrepancies.
  • Maintain accurate records of all billing transactions, adjustments, and communications.
  • Assist with month-end and year-end billing processes, including reporting and reconciliations.
Qualifications

At a Minimum, We'd Like You to Have

  • Familiarity with billing processes or administrative experience in a professional setting
  • Strong attention to detail and the ability to organize and manage multiple tasks.
  • Willingness to learn billing software.
  • Strong communication and problem-solving skills
  • Ability to work effectively in a collaborative, deadline-driven environment.

Ideally, We'd Like You to Have

  • Minimum of 2-3 years of legal billing experience, preferably in intellectual property law.
  • Experience with electronic billing (eBilling) portal
  • Proficiency in legal billing software such as Aderant, Elite, or BillBlast.
  • Proficiency in Microsoft Office Suite, especially Excel
Physical Requirements

Prolonged periods of computer-based work. The ability to read and review billing documents, invoices, and computer screens.

Compensation & Benefits

The salary range for this position is $65,000 to $80,000, depending on experience, with eligibility for a performance-based bonus.
